How often is an image used?

This is not only interesting information, you can also use this feature to see how often an image has been used, and in which documents, before you delete it. Deleting an image has consequences for the files where it has been included. The image will also be deleted from those files!

In addition, you can use this feature to keep track of images that display persons for your GDRP (General Data Protection Regulation) procedures.

How often is the image used?


You can use the image properties to determine how often and in which documents the image is used.

Go to the public or personal images section and click an image. Next, click ‘Properties’.

You can see how often an image is used via ‘Used in’.
The image shown below has been used once.

Now click ‘Which documents’ to identify the document or documents where the image is used.

You now have multiple options:

  • Edit
    Click ‘Edit’ to directly edit the document where the image has been inserted.
  • Location
    Click ‘Location’ to see where the document is stored.
  • Back
    Click ‘Back’ to return to the properties.

Delete an image that has been placed

 

If you want to delete an image that has been placed in a document, you will see a warning message.

The image you intend to delete, as shown in the example above, has been used once according to this message. This warning also tells you how to find out where the image is used.

If you still want to delete the image, click OK. The image will not only be deleted from the Media Library/images folder, the link with the document will also be broken. In other words, the image will also be permanently deleted from the document. 

 

NOTE Do not simply delete images. Always consider that they may have already been used in a specific document, so deleting them will break the link. One possible solution is to create an ‘Old images’ or ‘Archive’ folder.
